Our reception team are an integral part of our clinic. They are the first person our patients meet and the last person they deal with so it’s vital we find a person that is professional, astute, reliable and friendly to add to our growing team.

The person may be a current osteopath student wishing to gain inside knowledge of an osteopath clinic, or they may be a professional receptionist looking for six hours of work per week.  They will carry out a range of customer service and administrative duties to support the efficient running of our clinic. Duties will include:

  • Front of house meet and greet
  • Answer and direct phone called in a friendly and professional manner
  • Book initial and review consultations
  • Aim to convert all call-ups to a consultations
  • Explain the products and services we provide
  • Manage new patient files
  • Process payments using Front Desk software system and Hicaps machine
  • Coordinate online booking system
  • Preparing monthly reports
  • Work with Business Manager on marketing initiatives including patient communication program
  • Coordinate product stock levels
  • Cleaning tasks. This includes floors, bench surfaces, bathrooms and reception.
  • Additional tasks as deemed appropriate by Practice Principle or Business Manager

Skills/knowledge requirements

  • An osteopath student will be an advantage
  • Experience as a receptionist in a small medical clinic an advantage
  • Excellent customer service, telephone and office reception skills including empathy, friendliness and accuracy and ability to create a welcoming atmosphere
  • Ability to work to a deadline
  • Ability to apply own initiative and to apply discretion at all times
  • Ability to multi-task, plan, organise and prioritise daily workload
  • Ability to work cooperatively and effectively within a team to achieve shared goals and organizational priorities
  • Experience with Font Desk or other booking software system is an advantage
  • Experience with Word and Excel
  • Experience using online booking system is an advantage
